You can search for declarations by clicking on the tab “Advanced search” on the front page
Search using an MRN or some other reference
You can search for a declaration e.g. with an MRN. If the declaration has been lodged in the Customs Clearance Service, you can also use the trader reference number or an additional reference number for the search.
If you have selected “MRN or other declaration reference” enter the MRN in the next field. Next, click on Enter or press the Tab key or move the cursor from the field and left click on the mouse, so that you can select the transaction channel from the drop-down menu.
If the declaration has been lodged in the Customs Clearance Service, you don’t need to select the transaction channel. Instead, the search results will be displayed when you click on “Search”. If you are requesting amendment of a declaration submitted through message exchange or in the Import Declaration Service for private persons, select “Other transaction channels” as the transaction channel. Please note that you can only search for transit declarations that have been lodged in the Customs Clearance Service.
Search results
The search results will display all the declarations that contain the search criterion value. For example, if you enter as the declaration reference number only the beginning of the number, and there are several search results, they will be displayed as a list. In the same way, if you choose the additional declaration type as the search criterion and there are several search results, they will be displayed as a list. The results can be sorted and filtered.
You can add and edit search criteria and update the search results by clicking on “Search” again.
Search with other search criteria
In addition to the MRN or other declaration reference, the other possible search criteria are: lodgement time, role of authenticated trader in declarations, declaration, additional declaration type, identification number of other declared trader and identification of warehouse, transport document identifier, identification of means of transport or container identification number.
Search with several search criteria
If you want to limit the number of search results, you can use several search criteria at the same time. More search criteria will be displayed when you click on the ”+Add search criterion” button. You can then choose a search criterion from the drop-down menu and enter or choose a search value. Note that if you choose “MRN or other declaration reference” as the search criterion, you cannot add other search criteria.
Search with the role of authenticated trader
If you choose “Role of authenticated trader in declarations” as the search criterion, you can filter the search to show the declarations you have lodged as a representative on behalf of someone else or as a declarant on behalf of your business.
If the search criteria are too wide, a time-out error may occur during the search. This depends on the number of declarations in the database. If there is a large number of search results, the service displays the first 1 000 results. In such case you’ll have to narrow the search criteria.
Search with a reference number other than MRN
If the declaration has been lodged in the Customs Clearance Service, you can search for the declaration using the MRN or other declaration reference. If the declaration was lodged through message exchange or in the Import Declaration Service for private persons, you can only search for the declaration using the MRN.
If the service doesn’t find the declaration in the Customs Clearance Service, you will see a pop-up window with the text: “No declaration with this MRN was found in the Online services database. Do you want to search for the declaration in the other transaction channels?” Choose “OK”. If the service finds the declaration lodged through message exchange or in the Import Declaration Service for private persons, you can see the result on the search result list. Under “Result”, the service may also notify that you are not authorised to see the declaration related to this identifier.
Regarding import declarations, the declarant can request amendment of the declaration.
After this, however, the representative can no logner handle the declaration.
Removing search criteria
You can remove a search criterion by clicking on “Remove”. If you click on “Delete criteria”, all the search criteria you have chosen will be removed and you can start the search from the beginning.
A pop-up window will check that you want to remove all the search criteria. If you want all the search criteria to be removed, click on “OK”.
Browsing a declaration lodged via another transaction channel and switching the transaction channel
Even if the declaration had been submitted to Customs through message exchange or in the Import Declaration Service for private persons, you can browse it in the Customs Clearance Service. You can also switch the transaction channel of such a declaration, in which case the processing of the declaration will continue in the Customs Clearance Service. After this, all notifications concerning the declarations will be directed to the Customs Clearance Service.
Please note that you cannot switch the transaction channel in the case of transit and export declarations.
Search for the declaration using the MRN. Under “MRN or other declaration reference”, enter the MRN of the declaration and move to the next field, and the “Search” button will become active. When you click on “Search”, the service will display the message: “No declaration with this MRN was found in the Online services database. Do you want to search for the declaration in the other transaction channels?” Choose “OK”, if you wish to view the declarations lodged via some other transaction channel than the Customs Clearance Service.
When you have chosen the declaration on the result list, the service opens the declaration details for browsing. You can browse the details without changing the transaction channel. You can, for example, view and print out customs clearance decisions and decisions on release.
If you wish to switch the transaction channel for the declaration, click on “Switch channel” under “Summary and submission”. When you have clicked on the button, the service checks that you want to switch the transaction channel. If you want to switch the transaction channel, click on “OK”. Please note that the transaction channel for the declaration can only be switched once, from message exchange to online services. When you have switched the transaction channel for the declaration to the online service, you can no longer return the declaration you have handled to message exchange.
The original submitter of the declaration can switch the transaction channel before release (when the declaration state is “Accepted and registered”) The declarant and the possible representative can also switch the transaction channel after release (when the declaration state is “Released”).
If you switch the transaction channel after Customs has sent a hearing request, you must respond to the hearing request using the contact request under “Messages”.
If the transaction channel cannot be switched, the “Switch channel” button is inactive.
