Ship supplies declaration

Ship supplies refer to goods delivered to ships and aircraft operating in commercial international traffic.

The supplier must place the goods under a customs procedure with a declaration for ship supplies before the goods are delivered to the ship or aircraft. If you have a simplification authorisation granted by Customs, you can carry out the ship supply procedure more easily with an entry in the records. The ship supply procedure can be used for permanent export and when re-exporting goods placed under the customs warehousing procedure. You can start lodging a declaration for ship supplies by choosing, on the start screen, the country of destination code “QR” in intra-EU trade (the goods are delivered to an EU ship or aircraft) or “QS” for exports of goods to a third country (the goods are delivered to a ship or aircraft registered in a non-EU country).

The ship supply procedure can be applied to the following procedures:

  • 1000 Permanent export
  • 1040 Permanent export preceded by import clearance
  • 3171 Re-export from customs warehouse.

The sections of the declaration for ship supplies

The declaration for ship supplies consists of four sections:

  • “Parties”, where the following details are provided: contact person, declarant, representative, exporter, consignee, consignor and additional AEO supply chain actors. If all the goods have the same consignor, consignee or additional AEO supply chain actor, provide the details here.
  • “Declaration header”, where the header level details are provided, such as trader reference, declaration type, total amount invoiced, total gross mass, country of export, country of destination and location of goods. 
  • “Goods item”, where the basic information about the goods are provided, such as combined nomenclature code, description of goods, values and quantities, packages, export licence related to the goods, transport documents as well as consignee and consignor.
  • “Transport documents”, where the following details are provided: containers and seals as well mode of transport and means of transport at departure and at the border.
