Practical tips for completing a declaration

  • The mandatory fields are marked with a red asterisk.
  • You’ll get more information about completing a field by clicking the question mark next to the field name. The tooltip is closed when you click the question mark again.

  • When you have been authenticated in the declaration service as a representative for your company, the details of your company are shown in the declaration when you tick the box ‘Use the details of the authenticated person’.

  • The system makes checks as you are completing a declaration and will notify you of any errors detected. The identifier or description of the rule violation is shown in red in connection with the data field.

Details to be provided in a discharge notification:

  • details of the holder of the customs warehousing authorisation
  • the trader reference number and additional trader reference number you want to indicate in the discharge notification
  • identification of warehouse and
  •  if the declaration is completed by a representative, details of the representative
  •  list of the customs warehousing declarations for which the customs warehousing procedure has been discharged

Details of the holder of the customs warehousing authorisation

If you were authenticated with the warehousing authorisation holder’s Katso ID, you can tick the box ‘Use the details of the authenticated person’. The system will automatically fetch the details of the authorisation holder. If you untick the box ‘Use the details of the authenticated person’, you will be able to edit the details of the authorisation holder.

If you are completing this declaration as a representative, enter the authorisation holder’s EORI number and the related trader office number in the details of the authorisation holder. The system will fetch the authorisation holder’s name and address details according to the identification number.

 

Representative

If you are a holder of the customs warehousing authorisation, leave the details of the representative empty. If you are lodging the declaration as a representative , click ‘+Add representative’  and complete the fields that open. You can tick the box ‘Use the details of the authenticated person’ or enter your EORI number and trader office number.
If you have unnecessarily added a trader under ‘Representative’, remove this data group entirely by clicking ‘Remove representative’. Empty data fields would later prevent the acceptance of the declaration.
 

Trader reference number and additional trader reference number

As trader reference number you can declare the reference of your choice that identifies the declaration for you.  If necessary, you can declare another reference under ‘Additional trader reference number’.

Identification of warehouse

Enter the customs warehouse to which the goods now removed from the warehouse had been declared when placed under the customs warehousing procedure. If you, as the authorisation holder, have moved goods under the customs warehousing procedure between warehouses indicated in the same authorisation, enter also in such case the identification of the warehouse declared in the customs warehousing declaration when the goods were placed under the customs warehousing procedure. The warehouse ID consists of the authorisation holder’s EORI number, the three-digit office code and the two-digit warehouse location code. The warehouse ID is written without spaces.

Master reference numbers (MRN) of customs warehousing declarations

Enter the MRNs of all the standard customs warehousing declarations lodged upon warehouse deposit, where the goods covered by the declarations have been entirely removed from the warehouse and placed under the subsequent customs procedure or re-exported. If the goods were declared for the procedure by entry in the declarant’s records, enter the MRNs of the presentation notifications.

Here you can enter one or several MRNs, no more than 999. If you declare several MRNs, you can separate them by any other character than a letter or a number. You can separate the MRNs e.g. by a comma, enter, space, full stop or semicolon. Note that the MRNs of subsequent customs declarations used upon removal from warehouse are not declared in the discharge notification.

When you have completed all details, click ‘Next’ at the bottom right corner of the page. 

Summary and submission

On the ‘Summary and submission’ page, you see the details you have declared as well as any invalid or erroneous details left in the declaration. You can return to amend the declaration either via the side navigation menu or by clicking ‘Detail’ at the bottom right corner of the page. Once you have checked that the details are correct, you can submit the declaration by clicking ‘Submit’.

Processing of the declaration

In a moment, you’ll see whether your declaration has been registered. You’ll also see the identification assigned to your declaration.

If the declaration has been registered, you can also see the declaration number, MRN, assigned to the discharge notification by Customs. You can leave the declaration by clicking ‘Close’.

The state of customs warehousing declarations that are going to be discharged must be ‘Released’. The state of the declarations for the subsequent procedure must also correct. For example, if the state of one of the five MRNs declared for discharge is incorrect, the whole discharge notification will be rejected.
